Owners and Admins manage the organization from two pages in Settings: Organization (the organization’s name) and People (your members and guests). Members and Guests don’t see these pages.

Manage people

Go to Settings → People to see everyone in your organization. The page is split into two tabs:
  • Members — Owners, Admins, and Members. Each row shows the person’s name and email, their role, and when they were last seen (“Online now” if they’re currently active).
  • Guests — people with view access to individual files. The Access column shows how many files each guest can open; click it to see the list.
People who haven’t accepted their invitation yet appear at the bottom of the list marked Pending.

Add members

Open the People page

Go to Settings → People and click Add members.

Enter email addresses

Type or paste email addresses, separated by commas. Each address becomes a pill, so you can invite several people at once. Invalid addresses are highlighted so you can correct them before sending.

Choose a role

Pick Admin or Member for the people you’re inviting. The role applies to everyone in this batch, and you can change individual roles later.

Send the invites

Click Invite. Each person receives an email invitation — they don’t need an existing Flowstep account, since one is created for them automatically.
Each member you invite adds a paid seat to your organization’s plan, starting from the moment they’re invited. On a paid plan, seats update automatically when the Owner adds people; members added by an Admin may show as Inactive until the Owner clicks Fix. On the Free plan, invited members join as Inactive (read-only) until you upgrade. See Seats.
Guests can’t be invited from this dialog — guest access is granted by sharing a file with view access.

Change someone’s role

On the Members tab, use the dropdown in the Role column to switch a person between Admin and Member. The Owner’s role is fixed and can’t be changed.

Remove someone

Open the menu on a person’s row and choose Remove from organization. You’ll be asked to confirm: the person immediately loses access to all files in the organization, and you can re-invite them at any time. Removing a member frees their seat, but your organization keeps (and pays for) that seat until the end of the current billing period — assign it to someone else before then, or it’s removed at your next renewal. For people who haven’t accepted their invitation yet, the action is Cancel invite instead, which withdraws the invitation immediately. Since a pending member invite already holds a seat, cancelling it frees that seat.
You can’t remove yourself or the organization’s Owner.

Manage guests

On the Guests tab you can review what each guest has access to. On a paid plan, the Owner can promote a guest to a full member with Upgrade to member — members can view and edit files within the organization, so upgrading a guest adds a paid seat to your plan. On the Free plan this action is unavailable until you upgrade.

Fix inactive members

If some members show as Inactive, they have read-only access because your organization has more members than paid seats:
  • On a paid plan, the Owner sees a “Some members aren’t active” banner — click Fix to sync your seats and restore their edit access.
  • On the Free plan, upgrade to a paid plan to activate your members.

Rename your organization

Go to Settings → Organization and click Change next to the organization name. The name is visible to the other members of your organization.
